Legalization of Degrees and Academic Transcripts

  • 1. Applicants should fill out the Google Form for the legalization of diplomas, transcripts, SKPI certificates, or other documents via the provided link. This step takes approximately 20 minutes.
  • 2. Administrative staff review the information entered in the Google Form and verify the validity of the documents submitted for legalization. If the data or documents are not valid, the file is returned to the applicant. If they are valid, the documents are printed and stamped. The review process takes approximately 10 minutes.
  • 3. Documents that have been deemed complete and valid are then submitted to the Director of Graduate Studies for signature. The approval process at this stage takes approximately three days, provided that the director is present and not out of town.
  • 4. Once signed, the certified document will be mailed to the applicant or can be picked up in person at the Graduate School, depending on the option selected in the Google Form. This process takes approximately one day.
  • 5. The applicant has received the legalized documents, thereby concluding the legalization process.

Graduation Registration Services

  • 1. Graduation candidates must register online via SIMAK-NG, fulfill the graduation requirements, and complete the graduation questionnaire. This process takes approximately 20 minutes and results in a graduation registration confirmation.
  • 2. The program coordinator verifies and validates graduation requirements in accordance with the program’s regulations. This process takes about 5 minutes.
  • 3. Graduate academic staff verify and validate graduation requirements in accordance with faculty regulations. This process takes approximately 5 minutes.
  • 4. Staff members verify and reload the PISN. This process takes about 5 minutes. The system checks whether the PISN has been issued or not. This step takes about 5 minutes and is still related to the graduation registration confirmation.
  • 5. Once the PISN is available, graduating students select their graduation seats and make the payment. This process takes about 5 minutes and results in a graduation payment receipt.
  • 6. Once payment is complete and confirmed, the prospective graduate is officially registered for the commencement ceremony. This final step takes about 5 minutes and generates a registration confirmation indicating that the registration process has been completed.

Equipment and Space Rental Services

  • 1. Borrowers submit a request letter to the Director of Graduate Studies via SIRAISA. Room reservations can only be made on weekdays during business hours. This step takes approximately 5 minutes and results in a request letter.
  • 2. The director forwards incoming request letters to the deputy director. This process takes about 5 minutes.
  • 3. The Deputy Director forwards the request to the Administrative Sub-Coordinator. This step takes about 5 minutes.
  • 4. The Assistant Coordinator for Graduate Administration follows up on incoming request letters. This process also takes about 5 minutes.
  • 5. The room operator or manager checks room availability. If the request is approved, the borrower can download and save the room reservation confirmation via the sipirang.unud.ac.id system as proof of approval for room use within the Udayana University Graduate School. This process takes approximately 3 days.
  • 6. After use, the borrower must return the room and all its contents in their original condition and sign the Borrowing Report. If there is any damage or loss of items in the borrowed room, the borrower or user is responsible for replacing or repairing them. This process takes approximately 60 minutes.
